240502. Election of Chairman and Vice Chairman
1. Election of Chairman for the year 2024/25. Cllr Heard nominated by Cllr Spurrier and seconded by Cllr Kent Elected Chairman signed Declaration of Acceptance of Office.

240505. Minutes of previous meeting

Vandalism/graffiti in underpass – reported via the NYC website and to PC Nicholas Woods by clerk.

Audit 23/24 Chairman to co-sign application for exemption from external audit. Clerk pointed out that due to the extra income from grants expected this year, we will not be able to claim exemption from external audit for 24/25 and that this will incur costs.

240511 – Matters ongoing
Magnolia Tree (Queen’s Diamond Jubilee) – has now been dug out by Cllr Catt and suggested that an Amelanchier be purchased and planted in the autumn. Cllr Catt reported concerns from MOPs regarding the length of grass . Council discussed and resolved to ask K Tillett for a price for cutting the grass.
Clerk to chase up signage for the orchid area from NYC.
HSBC bank transfer – update from clerk. Suggested by council that she go into branch to set up an appointment as a matter of urgency as the online Zoom meeting was disappointing.
Brant Lane – email from MOP but no decision reported from Cllr Poskitt or NYC.
Website Upgrade – update from Cllr Heard. Cllrs Heard, Spurrier and Kent have completed the training but have not received the necessary passwords. No comments from other councillors , Cllr Heard to organise the passwords and sign the terms and conditions.
Speed Activated signs – update from Cllr Spurrier. Cllr Spurrier has confirmed that planning permission is not required but there may be a need for a site inspection before installation. Potential sites suggested – Weedling Gate, Stutton Road into the 30mph zone and Garnett Lane. Also discussed other areas and it was resolved to request NYC to carry out a site inspection to assess other potential sites. Cllr Spurrier to liaise with other councillors once date for site visit is known.

240513. Village Hall Update

Finance
The financial position of the VH has further improved. We have been successful is securing additional grants of:
– £47000 from Levelling up fund
– £18600 from Acre (this was less than we bid for and we were hoping for £26000)
We have grant applications submitted to:
– Biffa for £60,000 and hope to hear if we have been successful in securing some or all of this by the end of June;
– The Dulverton Foundation for £5,000, which has progressed to Stage 2;
– Heart of Yorkshire for £10,000 and we hope to hear if successful in June; and
– Llevit Construction for £3000 , again, we hope to hear if successful in June
Refurbishment Plans
We are progressing with a phased approach to the refurbishment work. The scaffolding is due to go up week commencing 3rd June with the roof and outside construction work starting that week. Unfortunately, the costs for this part of the project have increased since the budgets were set in January by £20000 (£7000 of this due to the changed roof profile sheeting requested by SSOB). We will only progress with the outside roof and building fabric work until we know whether we have been successful with the other grants. Once we know the outcome of the other applications and what monies we have available we will reconvene to decide how to progress the other Phases of the project.
In terms of current regular VH bookings, Mike and Katheryn Grayson have very kindly offered use of the church for the period of time whilst the VH is unavailable. This will enable regular bookers to continue their events and, hopefully, secure their support once the refurbishment work is complete.
Events
Tuesday socials continue to be well attended and will continue in the VH until the refurbishment work begins, but will the relocate to the Church whilst work is ongoing.
A Spring BBQ was held on Sunday 5th May it was well attended and helped raise an additional £700 towards the VH refurbishment costs.
An Olympic trail/hunt will take place on the weekend of 20 and 21 July, the task being to spot the Olympic linked items being displayed by people in their gardens/homes.
An Olympic themed Scarecrow Competition will take place on the weekend of Saturday 31 August and Sunday 1 September.
A Summer ‘Olympics’ BBQ is planned for Saturday 31 August. Keith Tillet has very kindly offered to support the event and will allow us to use his field, Olympic themed games will take place along with bar/BBQ
